SECTION ONE: PROCESS OVERVIEW

TITLE: What are you calling this process?

> Email check

SUMMARY: A one-sentence description of the process.

> Before every email is sent out to clients, it needs to be checked if everything is correct.

 

WHY: Briefly explain why the process is important.

> In the past we have experienced issues when email signature was missing, there was wrong formatting, etc. This checklist is to avoid it.

INTERVAL: How often does this process need to be complete?

> On request - usually we send a newsletter 2-3x a week.

   

SECTION TWO: PROCESS EXECUTION

STEP #1

Check the subject - in the whole sequence (if it is part of the email sequence - promoting a certain product), it needs to be consistent. If several of them start with the product name, it needs to be added/removed to the rest as well. It needs to be consistent.

STEP #2

Check the subject is not repeated at the beginning of the email (it would have a different font size compared to the rest of the email)

If it is there, the HTML header needs to be fixed

STEP #3

Inbox preview - newsletter

1- name - is it Tomas or Andrew? Should be the same person as signed the email

2- preview - is the text from this email? It can be from a different one.

STEP #4

In case it is an email sequence, are all emails in the sequence from the same sender?

STEP #5

Email width - check that email width is 600px. Sometimes it is a full screen, which is not good.

STEP #6

Check font size/style - Arial, Size 16 - consistent throughout the email

STEP #7

All should be as hyperlinks, not URLs in the email:

Is it a newsletter?

If so, dont forget this unsubscribe link at the end of the email:

STEP #9

Check line gaps - there should be the same gaps between the lines - constant throughout the entire email.

STEP #10

Signature - Is there a signature?

There should be both names, usually 'Tomas and Andrew' or 'Andrew and Tomas' - the first name is who is telling the story. If the email is clearly from just one of them (Tomas telling a story about the hedge fund), just one name is sufficient.

But there needs to be a signature.

STEP #11

Check email if there is a red line at the top (there shouldn’t be any)

STEP #12

Check images - check gaps above and below images

Images should be left-aligned (unless specified otherwise)

Images that contain text can be read (clear, big enough),

screenshots have similar font size as the text (size 16)

screenshots from word editors don't have underlined words (to check grammar)

image from the same series have to have the same size (like before and after, case #1, case #2,...)

is the text above/below displayed properly? Isn't some of the text on side of the image?

STEP #13

Bulletpoints - there is always a gap between them, not like this:

Countdown - Should there be a countdown? Is the offer time-limited?

If so continue with the checklist:

Does it work as a link?


  • Is there a countdown in all emails? Displayed properly?

  • check gaps above and below the countdown

  • An explanation before the countdown (This offer expires in: or Enrollment into the ‘System Trading Unleashed’ program closes in:)

STEP #15

Between the number and the text there should be a gap, not squashed together like this:

Spaces - Check for double spaces (search for it using ctrl+f)

SECTION THREE: REPORTING

WHO: Who should be the outcome send to?

> The person who requested it.

WHAT: What are you expecting to see in the outcome?

> List of things that needs to be updated - including screenshots and suggestion how it should be changed.

WHEN: When does the person reviewing the outcome want it?

> At least 15 minutes before the newsletter is sent out - to have time for changes.

HOW: How should the outcome be delivered?

> Either in a single document or (if there aren’t too many things) one by one in Slack.
