SECTION ONE: PROCESS OVERVIEW
TITLE: What are you calling this process?
> Email inbox
SUMMARY: A one-sentence description of the process.
> This process describes how to filter emails coming into the inbox.
WHY: Briefly explain why the process is important.
> Because the inbox should be clear all the time and the emails that need action to be moved in their respective folders so we make we are not missing anything.
INTERVAL: How often does this process need to be complete?
> Every time an email arrives in inbox.
SECTION TWO: PROCESS EXECUTION
STEP #1
Based on email type, perform one of the activities below
Invoices:
Emails with subject like: "Takedown Media Group | Takedown Media Group Invoice"
Are they paid?
If not (or not sure) - move to Jan's inbox
If yes - move to info@bettertraderacademy.com -> Invoices
Takedown Media / Trader Guard
Once a month we get a report from reports@traderguard.com
The subject is something like: "Trader Guard Report (July 2019)"
There is a dropbox link in the email. Please download the report and add this part at the beginning of the file name:
YYYY-MM (e.g. 2019-07)
Then please upload it here:
And let Jan know that it's been uploaded.
New order
The email with payment and the notification from Ontraport should come pretty much at the same time.
If it is only payment notification and not notification from ontraport, it means that the person was probably not given access to the course (we had these issues before, got the money, but due to system error, the course access was not granted).
Like this:

If all is fine, marked as red and move on.
If it is for "Breakout Strategies Masterclass" - inform Jan (new key for the BOS Tool needs to be generated).
Technical questions
Move to Jan's inbox.
Emails examples:
- zapier issues
- replies from support teams of other products that we use
New BTA forum posts or topics
Check if we should reply if so, send email to petra@bettertraderacademy.com
SECTION THREE: REPORTING
WHO: Who should be the outcome sent to?
> Jan or Petra
WHAT: What are you expecting to see in the outcome?
> emails sorted and the right people informed
WHEN: When does the person reviewing the outcome want it?
> As soon as possible
HOW: How should the outcome be delivered?
> Emails are sorted
